Operational back office, team coordination & support of the department management

We are an established, internationally active consulting firm in the field of risk management based in the heart of Vienna. Our focus is on technical risk analysis, valuation and claims management.

To support our team, we are looking for an experienced person who will actively coordinate the back office in addition to classic assistance and take responsibility for efficient and smooth processes.

Your role

They are the central organizational interface in the back office and are responsible for efficient, reliable processes. In doing so, you will combine operational cooperation in day-to-day business with the coordination of a small team and the support of the department management. At the same time, you will actively help shape existing structures and further develop processes in the back office in a targeted manner.

Your tasks

Operational Back Office & Administration

  • Independent handling of central back-office processes – from order receipt to invoicing
  • Ensuring structured and timely implementation in day-to-day business
  • Operational follow-up of projects as well as control of incoming tasks including central e-mail accounts
  • Maintenance and further development of data structures as well as ensuring high data quality
  • First point of contact for customers as well as independent processing and coordination of incoming inquiries

Assistant to the Head of Department

  • Forward-looking organization and coordination of appointments, topics and processes
  • Preparation and preparation of documents in terms of content as well as preparation of evaluations (especially in Excel)
  • Independent follow-up of open points, deadlines and feedback
  • Processing of selected administrative tasks (e.g. travel expense reports) as well as identification of potential for improvement and relief

Office Management & Team Coordination

  • Technical coordination of a small back-office team (1–2 employees)
  • Ensuring efficient processes and further development of standards and processes in the back office
  • Central contact person for organizational and operational issues in the team

Your profile

  • Several years of in-depth professional experience in a comparable role in the operational back office or as an assistant with a high degree of independence and reliability in the organization and handling of back office processes
  • Independent and forward-looking way of working with the ability to set priorities clearly, keep an overview and ensure stable processes
  • Experience in the preparation of documents and evaluations (especially Excel)
  • Practice in the coordination of processes or smaller teams as well as enjoyment of creating structure and commitment
  • Clear, professional communication and confident appearance
  • Hands-on mentality combined with high quality standards and discretion
